Nature of Our Fees
Gateway Visa Consultants charges professional fees for:
- Professional advice and consultation
- Documentation review and guidance
- Application preparation and assistance
- Case analysis and strategy planning
- Ongoing support throughout the application process
These fees are charged for the time, expertise, and resources provided by our experienced consultants. Our fees are not related to the outcome of any visa application and are separate from any third-party fees such as embassy charges.
Service Fees: Our fees are for professional services rendered, not for visa approval or any specific outcome.
Section 2
Fee Structure
The following types of fees may apply to our services:
- Consultation Fees: For initial consultations and advisory sessions.
- Service Fees: For comprehensive visa application assistance and documentation support.
- Refusal Assessment Fees: For analysing previous visa refusals and developing reapplication strategies.
- Urgent or Expedited Service Fees: For processing applications on an expedited timeline.
- Third-Party Fees: Government application fees, embassy fees, VFS fees, medical examinations, courier charges, translation, notarisation, bank charges, and other ancillary costs are not included in our service fees and are your responsibility.
All fees are clearly communicated and agreed upon before services commence.
Section 3
General Rule – Non-Refundability
As a general rule, all professional fees paid to Gateway Visa Consultants are non-refundable once:
- A consultation has been conducted, or
- Work on your application or case has commenced, or
- Any professional advice or analysis has been provided.
This is because our fees are for the time, expertise, and resources invested in your case from the moment we begin working on it. You are paying for our professional services, not for the final outcome of any visa application.
Non-Refundable: Fees become non-refundable once work has commenced or advice has been provided.
Section 4
Circumstances Where a Refund May Be Considered
Refunds may be considered on a case-by-case basis, at our sole discretion, in the following limited circumstances:
- Duplicate Payment: If you inadvertently make a duplicate payment for the same service.
- Overpayment: If you pay more than the agreed amount for a service.
- Service Not Provided: If we are unable to provide the agreed service and no work has commenced.
- Mutual Agreement: If both parties mutually agree to cancel the service agreement before work commences.
Any approved refund will be subject to the deduction of administrative costs and any work already performed.
Section 5
Circumstances Where Refunds Will Not Be Provided
Refunds will not be provided in the following circumstances:
- Visa Refusal: No refund will be given if your visa application is refused, delayed, or rejected by any immigration authority.
- Change of Mind: If you decide not to proceed with your application after work has commenced.
- Incomplete Information: If you fail to provide required information, documents, or cooperation in a timely manner.
- Inaccurate Information: If you provide inaccurate, incomplete, or misleading information that affects your application.
- Third-Party Fees: Government fees, embassy fees, VFS fees, medical examinations, courier charges, translation fees, notarisation, bank charges, and similar costs are non-refundable.
- Changes in Immigration Policy: No refunds are provided for changes in immigration laws, policies, or procedures that may affect your application.
- Withdrawal of Application: If you withdraw your visa application or change your mind at any stage after work has commenced.
- Failure to Meet Eligibility: If you are found to be ineligible for the visa category you applied for after we have commenced work on your case.
No Refund: Visa refusal, change of mind, incomplete information, inaccurate details, third-party fees, and policy changes do not qualify for refunds.
Section 6
No Guarantee of Visa Approval
Gateway Visa Consultants provides professional advice and support. However, we have no control over visa decisions, which are made solely by the relevant embassy or immigration authority.
Payment of our professional fees does not guarantee that:
- Your visa application will be approved
- Your application will be processed within a specific timeframe
- You will receive a visa of any particular type or duration
We do not offer refunds or compensation based on the outcome of any visa application or the processing time taken by immigration authorities.
No Guarantee: Payment of consultancy fees does not guarantee visa approval. Final decisions are made solely by immigration authorities.
Section 7
Refund Request Procedure
If you believe you are eligible for a refund under this policy, you must submit a refund request in writing.
Your request must include:
- Your full name and contact information
- The service(s) for which the refund is requested
- The date(s) of payment
- Payment reference or transaction ID
- Detailed reason for the refund request
- Any supporting documentation

We will acknowledge receipt of your request within 3 business days and review it promptly. You will be informed of the outcome in writing.
Section 8
Processing of Approved Refunds
If your refund request is approved, we will process it as follows:
- Processing Time: Approved refunds are normally processed within 7–14 business days from the date of approval.
- Method of Refund: Refunds will be issued using the same payment method used for the original transaction, unless otherwise agreed.
- Deductions: We reserve the right to deduct administrative costs, bank charges, and the value of any work already performed from any approved refund.
- Currency: Refunds will be processed in the currency of the original payment.
- Third-Party Fees: Government fees, embassy fees, courier charges, translation fees, and other third-party costs are non-refundable.
Processing Time: Approved refunds are typically processed within 7–14 business days, depending on banks and payment providers.
Section 9
Force Majeure
Gateway Visa Consultants shall not be liable for any failure or delay in performing our obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to:
- Natural disasters or acts of God
- Government actions, changes in law, or regulatory interventions
- Embassy closures, visa processing delays, or changes in immigration policy
- War, terrorism, civil unrest, or political instability
- Pandemics, epidemics, or public health emergencies
- Strikes, labour disputes, or industrial action
- Technical failures, cyber-attacks, or service disruptions
In such circumstances, no refunds or compensation shall be provided for any resulting delays, disruptions, or inability to provide services.
Section 10
Disputes
In the event of a dispute regarding a refund, we will work with you in good faith to seek an amicable resolution.
If a resolution cannot be reached, the dispute shall be governed by the laws of the Republic of Sri Lanka and subject to the exclusive jurisdiction of the courts of Sri Lanka.
Any claims or disputes must be brought within 30 days of the date of the original transaction or the date the service was provided, whichever is later.

Amendments to this Policy
Gateway Visa Consultants reserves the right to update, modify, or amend this Refund Policy at any time without prior notice. Any changes will be posted on this page and will become effective immediately upon posting.
The version of this policy in effect at the time of your payment shall govern that transaction. We encourage you to review this policy periodically to stay informed of any changes.
